Migrating to a new property management system (PMS) provides many compliance challenges. Often little thought goes into what happens to the old PMS data. Many countries mandate hoteliers to keep copies of invoices for years after generation for audit purposes. Additionally, many hotels want to retain their old guest data should they miss something important from a loyal guest. Until now, the solution has always been to keep the old PMS server accessible or spend hours printing and physically archiving invoices.
However, with hconnect VAULT, hoteliers can now extract the data, including reservations, profiles and invoices, from their previous PMS and transfer it to a more secure environment with Amazon Web Services or Azure using the self-service portal. hconnect VAULT extracts, encrypts, and indexes PMS data to allow users to retrieve data securely and instantly from any device at a fraction of the cost of hosting the old servers in a virtual environment.

The only option being suggested by PMS vendors is to keep the old servers running. Released at HITEC Orlando, hconnect VAULT was met with a hugely positive response as several hotels shared their stories of having hundreds of old PMS databases and the amount of money in breaches, storage and maintenance sitting on their bottom line. However, with hconnect VAULT, hoteliers and IT teams now have a means to securely store their data without expensive storage solutions or vendor involvement.
